We are looking for an organised, proactive, and adaptable Administrative Coordinator to provide comprehensive support to the Artistic Director and the wider team. This varied role involves assisting with day-to-day operations, logistics, communications, and financial tasks, ensuring the smooth running of the organisation’s activities and events.
Job Title: Administrative Coordinator
Salary Scale: £18,000 – £22,000 Pro-Rata/per annum across 5 days (depending on experience)
Working Days: Monday – Friday (role will may require some evening and weekend working with time given back on lieu)
Working Hours: 9am/10am – 5pm/6pm (working hours can be flexible)
Contract Type: full-time for 6 months, renewable to 12 months pending funding
Location: Home working & Birmingham Based Office
Qualifications & skills:
- Strong organisational and time management skills.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple tasks and prioritise effectively.
- Ability to work independently and as part of a team in a dynamic environment
- Strong attention to detail and accuracy in all tasks.
- Proficiency with Microsoft Office Suite, dropbox and general office software.
- Ability to maintain confidentiality and handle sensitive information with discretion
- A collaborative, team-oriented mindset with a positive attitude.
- A keen interest in the arts and events management is desirable.

Key responsibilities:
- Administrative Support: Provide day-to-day administrative assistance to the Artistic Director and team, ensuring seamless operations and an efficient workflow.
- Office Operations & Logistics: Manage office-related tasks such as booking meeting rooms, ordering supplies, and handling general office logistics.
- Travel & Accommodation Coordination: Assist with the booking of travel and accommodation for touring artists and staff, ensuring all arrangements are made for successful trips.
- Communications Support: Work closely with the Marketing Manager to support social media campaigns, newsletters, and email correspondence. Serve as the first point of contact for general enquiries.
- Meeting Coordination: Schedule and organise meetings, ensuring all parties are informed. Take notes and circulate minutes where required.
- Data Collection & Reporting: Assist with the collection and analysis of statistics, help monitor performance metrics, and contribute to the compilation of evaluation reports and resources.
- Financial Support: Assist with financial tasks, including collecting invoices and receipts, and inputting data into spreadsheets for budgeting and accounting purposes.
- Stakeholder Liaison: Act as a liaison between artists, stakeholders, and community participants, ensuring clear communication and strong relationships.
- Event & Performance Support: Provide on-the-ground support for in-person performances, events, and rehearsals, ensuring everything runs smoothly.
- Team Participation: Attend regular team meetings, training sessions, and contribute to ongoing projects and initiatives as required.
- Other Duties: Assist with any additional tasks or responsibilities as the role evolves to meet the needs of the organisation.
